Call to Order and Announce a Quorum is Present. With a quorum of Board Members present, the Regular Meeting of the Allen Public Library was called to order by Board Chair Shahmeen Khan at 6:30 p.m. on Tuesday, May 1, 2018, in the Allen Public Library Board Room, 300 North Allen Drive, Allen, Texas. 2. Approve Minutes of the February 6, 2018 Regular Meeting. MOTION: Upon a motion made by Board Member Michelle Perry and seconded by Board Member Scott Phillips, the Board voted seven (7) for and none (0) opposed to approve the February 6, 2018 minutes. The motion carried. ALLEN PUBLIC LIBRARY Page 2 REGULAR MEETING May 1, 2018 3. Discuss and Complete the Annual Board Evaluation Form. The Board Members discussed the qualities, volunteer work, and future of the Board while completing the Annual Board Evaluation Form. 4. Discuss the 2017 Annual Report for the City Council. The Annual Report for the City Council will take place on May 22 or June 26. The report will focus more on the Library Board's purpose and will include pictures and names of Board members, Board accomplishments, projects for the coming year, and the activities of the Library. 5. Preview Summer Reading Club Activities. The Summer Reading Club theme is "Summer Treats" for adults and "Summer is Sweet" for teens and children. The Summer Reading kickoff will be on June 9 with a carnival at 10 a.m. The Summer Reading Club will run from May 29 to August 5 and will include Wednesday afternoon programs for children, Tuesday afternoon movies, robotics programs, and arts programs. June 29 will be the 5`h Annual Teen Anime Con. 6. Update on Library Grants and Recognition. The Library is one of 52 Texas libraries chosen to receive the 2017 Achievement of Library Excellence Award. This is the fourth consecutive year the Library has received this award. A 2018 Texas Book Festival Grant will be used to augment the Lone Star Reading List books for grades 6-8 and the children's a -book collection. A Texas Branding Iron Award for Community Engagement recognized the Library's Bilingual Chinese Story Time that began in February 2017. 7. Review Family Place Library Status. The $6000 Family Place Library Grant is to help address early -learning needs with the goal of ensuring that all children begin school ready and able to learn. The Library is one of 12 libraries in Texas to receive this award in 2018. Two Library staff members received training in Centereach, New York. The Library will host workshops for young children up to age three with their caregivers, create a parenting collection, enhance the interactive play space in the Children's Library, and cultivate and continue community partnerships with local organizations serving young children and their families. These concepts will be included in the Library building expansion project. ALLEN PUBLIC LIBRARY REGULAR MEETING MAY 1, 2018 Page 3 8. Receive Details on Polaris Software Upgrade Scheduled for Wednesday, May 9. The Library will be open for the software upgrade, but the catalog and electronic services will not be available. 9. Review and Discuss January, February, and March 2418 Library Statistics. In January, circulation was up over 5% from the previous January, while program attendance rose 12% and visitors were up almost 5%. In February, program attendance was down due to fewer programs being offered. March had a record 100,000 checkouts, a first for any non -summer month. The second quarter had M° o more visitors and circulation from last year, while programming stayed the same due to lack of space. 10. Updates on Friends of the Library, Allen Library Endowment Fund and ALLen Reads Activities. Susan Jackson was re-elected president of Friends of the Library. The Allen Library Endowment Fund has a new website and name. There is a wine and chocolate fundraising event scheduled for September 22. The ALLen Reads book is The War That Saved My Life, and author Kimberly Brubaker Bradley will visit on October 18. 11. Discuss Items for Future Board Meeting Agendas. Parking on Coats Drive is affecting access to and from the book drop and should be addressed. 12. Items of Interest. MOTION: Upon a motion made by Board Member Diane Knaack and seconded by Board Member Rekha Mathai, the board voted seven (7) for and none (0) opposed to adjourn the board meeting at 7:30 p.m. The Motion carried.
