Min - Library Board - 2018 -11/06 - RegularALLEN PUBLIC LIBRARY REGULAR MEETING NOVEMBER 6, 2018 Board Members Present: Shahmeen Khan, Chair Scott Phillips, Secretary Jack Bick Kimberly Hinton Rekha Mathai Maroba Zoeller Board Members Absent: Michelle Perry, Vice Chair City Staff/Officials Present: Jeff Timbs, Director Lauren Doherty, City Council Liaison Visitors Present: None 1. Call to Order and Announce a Norum is Present. With a quorum of Board Members present, the Regular Meeting of the Allen Public Library was called to order by Board Chair Shahmeen Khan at 6:37 p.m. on Tuesday, November 6, 2018, in the Allen Public Library Board Room, 300 North Al len Drive, Allen, Texas. 2. Introduce and Welcome New Board Members Jack Bick and Maroba Zoeller and New City Council Liaison Lauren Doherty. 3. Elect New Officers for 2018-2019. Kimberly Hinton nominated Shahmeen Khan as the Board Chair. Motion: Upon a motion made by Kimberly Hinton and seconded by Rekha Mathai, the Board voted six (6) for and none (0) opposed to elect Shahmeen Khan as the Board Chair. Kimberly Hinton nominated Michelle Perry as the Board Vice -Chair. Motion: Upon a motion made by Kimberly Hinton and seconded by Shahmeen Khan, the Board voted six (6) for and none (0) opposed to elect Michelle Perry as the Board Vice - Chair. Shahmeen Khan nominated Scott Phillips as the Board Secretary. Motion: Upon a motion made by Shahmeen Khan and seconded by Kimberly Hinton, the Board voted six (6) for and none (0) opposed to elect Scott Phillips as the Board Secretary. 4. Approve Minutes of the August 7, 2018 Regular Meeting. MOTION: Upon a motion made by Shahmeen Khan and seconded by Board Member Scott Phillips, the Board voted six (6) for and none (0) opposed to approve the August 7, 2018 minutes. The motion carried. 5. Discuss Suezestions for the 2018 Annual Report Video. Library Director Jeff Timbs raise the possibility for an annual video and described what's been done in past years. There was discussion about including Board members on camera talking about their personal reasons for serving on the Board. Rekha Mathai discussed including the Family Place grant, and Maroba Zoeller suggested that statistics be listed in different fonts. 6. Update on the November 30th City Christmas Tree Lighting and Related Activities. The Holly Jolly Celebration will include the Annual Christmas Tree Lighting and will take place inside and outside the Library. The tree will be in the traffic circle, and there will be crafts, foods, carriage rides, photos with Santa Claus, and other activities. Library parking will close at 3 p.m., and the event will take place 5-10 p.m. In addition to nearby parking, buses will shuttle participants from Allen High School. 7. Receive Report on the Library's A1211roved Budget for 2018-2019. Some expenses have been departmentalized and included in the Library's budget for the first time in several years. The City's General Fund contributes about 99% of the Library's operating budget. The Director updated the Board on the Family Place Grant received earlier in 2018. 8. Review and Discuss July, August, September, and Year -End 2018 Library Statistics. Checkouts were up 3% in July and in September, static in August. Reference requests were up 14.5% in July during Summer Reading Club. Program attendance was down in August possibly because of the impact of 50th Anniversary programming in 2017. Attendance was up 15% in September. For 2017-2018, checkouts were up 3% from the previous year, program attendance and filled hold requests were each up 5%, new patrons increased 6.5° o, and reference requests 6.3%. Visitors increased only I% but exceeded 400,000 for the first time. 9. Undates on the Friends of the Library, Allen Library Endowment Fund, and ALLen Reads Activities. The Friends provided lunch for Library staff at the November 2 in-service day. Board members are invited to the Friends potluck dinner in the Library Meeting Room at 6:30 p.m. on December 3. The Endowment Fund's September fundraiser raised approximately $8000 despite rainy weather that night which required moving the event to Blue House II. ALLen Reads author Kimberly Brubaker Bradley's visit was very successful, drawing 173 people. 10. Discuss Items for Future Board Meeting Agendas. Discussion of Library funding options. Update on Family Place Parent -Child Workshops. 11. Items of Interest. Upcoming Library programs were discussed. 12. Adiourn. MOTION: Upon a motion made by Chair Shahmeen Khan and seconded by Board Member Kimberly Hinton, the Board voted six (6) for and none (0) opposed to adjourn the meeting at 7:33 p.m. The Motion Carried.
