AAAB MEMBERS PRESENT Evelyn Dawson, Chair Lori Fairchild Tess McKeown Shannon Kelly, Secretary MEMBERS ABSENT Gregg Layton, Vice Chair GUESTS PRESENT Doug White, Consultant to the City of Allen STAFF PRESENT Don Horton, Director of Parks and Recreation Lisa Anderson, Special Activities Coordinator Sue Witkowski, Secretary 1. CALL TO ORDER Chair, Evelyn Dawson called the meeting to order at 6:07 p.m. 2. APPROVE THE MINUTES FROM MARCH 14, 2000 REGULAR CALLED MEETING MOTION: Lori Fairchild moved to accept the Minutes from March 14, 2000 Regular Called Meeting as presented. Tess McKeown seconded, and the Motion carried 4 for, 0 against. Page 2 Allen Arts Alliance Board Meeting April 4, 2000 3. CITIZENS COMMENTS There were no citizens present wishing to speak to the Board at this time. 4. DUNBAR PROJECT UPDATE - DON HORTON Don Horton reported having met with Amanda and her mother at the new City Hall, as well as having forwarded the outside landscape design being developed by David Baldwin for Amanda to review Contact will be made tomorrow with her agent in an attempt to come to a financial agreement. 5. CIVIC PLAZA FUND RAISING - DON HORTON Don Horton outlined the proposed plaza design by David Baldwin, as well as reviewed the proposed brochure regarding the sale of plaza commemorative markers. 6. TABLED ITEM: FUND RAISING PACKET STATUS - DOUG WHITE Doug White presented information on a fund raising brochure he is in the process of developing for the Board to review It was determined that copyright permission might be required for the use of photos depicting professional performers. 7. UPDATE ON SUMMER SOUNDS CONCERT SERIES 2000 - LISA ANDERSON Lisa reviewed the list of performers, as well as advertising, intermission and staffing of this event. It was determined that one prize would be solicited for each concert, along with several children's prizes 8. ALLOCATION OF FUNDING - PORTABLE SOUND AND LIGHT SYSTEM - TESS MCKEOWN Tess requested authorization to purchase small photographer -type lighting that would be very portable and could be used at special concerts and events when a small amount of lighting would be needed. It was determined that the Parks Department portable microphone and speaker would work nicely for sound. Page 3 Allen Area Alliance Board Meeting April 4, 2000 MOTION: Shannon Kelly moved to authorize the purchase of the lighting from the Sunday Concert Series Budget. Lori Fairchild seconded, and the Motion carried, 4 for, 0 against. 9. DEDICATION CEREMONY FOR BALLPARK STATUES - TESS MCKEOWN Tess McKeown suggested the purchase of baseball -style caps and doing the dedication during a ballgame at Allen Station Park. Photos would be forwarded to the Allen American. This issue will be addressed when the statues are permanently placed 10. SUNDAY CONCERT REPORTS - TESS MCKEOWN Tess provided the Board members with a written report including a list of suggestions for future concerts. 11. NEW ART PURCHASE IDEAS (SILHOUETTES) -TESS MCKEOWN Tess requested this item be removed from the Agenda. 12. FINALIZE LIST FOR COMMUNITY DEVELOPMENT CORPORATION BOARD PRESENTATION - EVELYN DAWSON The three projects moving forward for consideration are the Dunbar Art Project, Permanent Sound and Lights and Landscaping/Painting of Amphitheater These will be presented Monday night to the Allen Community Development Corporation Board. 13. TABLED ITEM: POLICIES AND PROCEDURES FOR BOARD MEMBERS INITIATINGANVESTIGATING PROJECTS ANNOUNCEMENT OF "GRANTS" CONTACTS BY OUTSIDE SOURCES DESIGNATED BOARD MEMBER CONTACTS The Chair requested this item be tabled until a future Board meeting, meanwhile, members are consulting with various persons in the metro-plex who are involved with similar Boards and Committees. TABLED ITEM: NETWORKING WITH OTHER ARTS GROUPS IN ALLEN — EVELYN DAWSON At the request of the Chair, this item is being removed from the agenda. 15. TABLED ITEM: REPRESENTATIVE TO ATTEND THE ALLEN ECONOMIC DEVELOPMENT CORPORATION LUNCHEON — EVELYN DAWSON Shannon Kelly agreed to consider attending this luncheon. 16. OTHER BUSINESS Evenly Dawson invited any interested Board Members to attend the City Council Meeting on Thursday, April 6 at which time she would be presenting the Allen Arts Alliance Master Plan, along with Mary Vail. 17.
