AAAB MEMBERS PRESENT Evelyn Dawson, Chair Cynthia Kaleta Debra Sielert Lauren Jones Shannon Kelly, Secretary Tess McKeown, Vice Chair MEMBERS ABSENT None GUESTS PRESENT 11 Mary Vail, Consultant to the City of Allen STAFF PRESENT Don Horton, Director of Parks and Recreation Sue Witkowski, Secretary Lisa Anderson, Special Activities Coordinator CALL TO ORDER Chair, Evelyn Dawson called the meeting to order at 6:23 p.m. 2. APPROVE THE MINUTES FROM JULY 11, 2000 REGULAR CALLED MEETING MOTION: Lauren Jones moved to accept the Minutes from July 11, 2000 Regular Called Meeting as presented. Shannon Kelly seconded and the Motion carried 6 for, 0 against. 4. CIVIC PLAZA FUND RAISING Deb Sielert presented the members with copies of the draft of the brochure to be mailed to all residents of Allen. With minor changes, the Board approved the work done by Deb and she indicated she will be taking it to the punter once the letter from Mayor Terrell is received. Approximately 18,000 will be mailed to residents and businesses. Don Horton. Director of Parks and Recreation reported that during his attendance at a Keep Allen Beautiful Board Meeting last month, it was announced that as a result of their mass mailing to the residents of Allen, $54,000 had been donated toward the purchase of trees. The Keep Allen Beautiful Board has agreed to donate these funds toward the purchase of trees around the new City Hall, and ��� plaza. In addition, Don reported that Mrs. Eugene McDermott has agreed to donate an additional $100,000 toward the plaza area of City Hall. Don reported that Mrs. McDermott had donated $100,000 some time ago, and that money has accrued approximately $50,000 in interest. 5. ARTS BOARD COMMUNICATIONS —CALENDAR, NEWSLETTER Chair Evelyn Dawson suggested that the Board have a day of training about tnid- September or October on a Saturday She suggested that as a facilitator, the group might want to consider Donald Payton to lead this workshop. The date was set for October 21, beginning about 10 a.m., and continuing through mid-afternoon. 6. UPDATE ON FALL CONCERT SERIES — LOGO, T-SHIRTS, GROUPS Lisa Anderson provided the Board ballots on which to place their vote for the bands to be invited to the Fall Concert Senes. Following the vote, it was determined that Finger Pnnts, Emerald City, Brave Combo and Kenny and the Casuals be invited to perform. The event will be called "Autumn Rhythms", from 7-9 p.m. on September 11, 18, and 25, as well as October 2. Purple t -shirts will be ordered by staff. UPDATE ON ART FEST 2001 Lauren Jones indicated that five artists have been contacted, and four confirmed that they would like to be a part of Art Fest 2001. Staff suggested the Board might consider hosting Art Fest 2001 in conjunction with the Allen USA Celebration scheduled for June 30, 2001 Following this suggestion, it was determined that an ad-hoc subcommittee would be formed with members appointed by Lauren Jones to work out the details and return to the Board with the basics of dates, etc This subcommittee will study the Joint venture possibility, as well as work with the 4°i of July Parade planners, and staff regarding the Allen USA Celebration. S. CHRISTMAS EVENT, 2000 A brief discussion was held regarding the possibility of the Arts Board becoming involved with the Annual Tree Lighting Ceremony and it was suggested that Brave Combo has some very interesting Christmas Music and might be available to entertain. 9. OTHER BUSINESS Lisa Anderson reported having ordered the coolers, and sought input from the Board regarding portable staging, and display boards to be purchased. Don Horton reminded the Board that the Sound System had been cut from the CDC projects funded. He also told the Board he would be meeting with Amanda Dunbar and her family during the upcoming week to discuss the City Hall art project. 10.
