Min - Arts Alliance - 2001 - 04/03 - RegularMINUTES ALLEN ARTS ALLIANCE BOARD REGULAR CALLED MEETING Apri13, 2001 AAAB MEMBERS PRESENT Evelyn Dawson, Chair Debra Sielert, Vice -Chair Joel Cantwell Lisa Ellrich Lauren Jones, Secretary MEMBERS ABSENT Cynthia Kaleta Lauren Jones, Secretary Joyce Richards Guests Present a William Dillard Staff Present Don Horton, Director of Parks and Recreation Lisa Anderson, Special Activities Coordinator Tina Damels, Cultural Arts Specialist CALL TO ORDER Chair Evelyn Dawson called the meeting to order at 6:06 p.m. 2. CITIZENS COMMENTS There were no citizens present wishing to speak at this time. APPROVED THE MINUTES FROM MARCH 13, 2001 REGULAR CALLED MEETING MOTION: Lisa Ellrich moved to accept the Minutes from MARCH 13, 2001 Regular Called Meeting as presented. Joel Cantwell seconded and the motioned carried 5 for, 0 against. 4. SYMPHONY INFORMATION Tina Daniels spoke with Wendy Gollihue at they Allen Philharmonic Symphony office and she said that she would deliver copies of the programs showing Allen Arts Alliance ad for being a platinum sponsor. Tina presented these programs to the board for them to view. Evelyn Dawson asked Tina Daniels to contact the symphony and ask them for deadlines for upcoming sponsorship advertisement. ALLEN USA/ART FEST Lisa Anderson gave an update on Allen USA. The entertainment for the evening will be Vince Vance and the V allents. She explained that there will each depot is coming together very well and everything is on target. She has met with the parks department staff and gearing everyone up for a fun event. Art Fest participants (artist) are not as many as she'd like at this point, but she is hoping that more artist will commit this month. Don Horton reported that the Chamber of Commerce/Allen was concerned because Allen USA hosts a'Business Depot". The Chamber hosts a Business Expo in May, and they were concerned that we were holding the same event just a few weeks apart. Don said a letter was going out to all the businesses that had been previously contacted stating that Allen USA was in no way competing with the Chamber and the City would hope that we could have both events. The City also hopes that they can work with the Chamber on future events. .AD HOC COMMITTEE UPDATES ARTS ALLIANCE/SCHOOL LIAISON—Lauren Jones and Cindy Kaleta Nothing to report at this time. Lauren is currently speaking to several schools. More information at future meetings. FRIENDS OF PARKS AND ART IN ALLEN ----Evelyn Dawson, Don Horton Don Horton attended the April 1 meeting regarding Friends of Parks and Art. Don reported that this group has been established to form a foundation for fund raising. Friends of the Parks and Art in Allen group want their group to concentrate on tangible items. They suggested raising money for such items as as open spaces and specific parks. However, they do not want to just raise money without a specific goal in mind. Some members of this group include Jim Walbauer, Amy Moiner, Joe Farmer and Mary Martin. The group expressed that it did not have an interest in raising money for art in Allen, but they could be a funding arm if Allen Arts Alliance needed them. Evelyn suggested that at some point in the future that Allen Arts Alliance form their own foundation. I ART IN PUBLIC PLACES ---Deb Sielert and Joel Cantwell Don reported that he met with Robin Frye and the renderings that he will do are less expensive than the board had thought. Robin Frye will begin these renderings as soon as possible. ALLEN ARTS ALLIANCE GUILD ----William Dillard Bill Dillard reported that plans are underway for a volunteer reception. There have been some difficulties with scheduling dates but he has secured the rotunda in City Hall for the event site. Bill recommended that the Volunteer Reception be held on a weeknight. Once a date is established he will contact the board with further details. Don Horton recommended that the Volunteer Reception be held between May 21 and June 9 With these dates we could utilize volunteers for upcoming events in the summer. Bill Dillard said that he contacted Robin Popik. She is the Volunteer Coordinator for the City of Plano. She gave Bill Dillard a lot of good ideas to begin Allen Arts Alliance Guild. Bill Dillard shared that she suggested such things as establish a mission, utilize all volunteers, don't ask for more volunteers than needed, and have enough events so people have the opportunity to volunteer. Other Business Lisa Anderson said that the next meeting is scheduled for May 1 but that would not be a good date.
