Call to Order and Announce a Quorum is Present
With a quorum of the Board Members present, the Regular Meeting of the Allen Public Library was called to
order by Chair, Don Wing, at 7:30 p.m. on Tuesday, February 2, 2010, in the Board Room of the Allen
Public Library, 300 North Allen Drive, Allen, Texas.
Approve Minutes of the December 1, 2009 Regular Meeting.
The board approved the minutes with no corrections.
MOTION: Upon a motion made by Board Member, Hugh Brown and a second by Board Member,
Trent Armstrong, the Board voted six (6) for and none (0) opposed to approve the December
1, 2009 library board minutes. The motion carried
2. Review and Discuss November and December 2009 Library Statistics.
The Library Board reviewed the statistics and discussed the month of December as being a typical
month at the library

Director, Jeff Timbs said we would need to get further into the 2010 year to identify trends.
3. Receive Report on the Activities of the Friends of the Allen Public Library.
Ann Livingston of the Friends organization recruited members from the library board and explained
programs the Friends initiate and support. They are stepping up marketing for new memberships and
helping the Endowment Fund become will known in and around the community.
Jane Bennett of the Friends explained to the board the history and purpose of the ALLen Reads
Program.
4. Discuss Request to the City Council to issue Proclamations for Library Week (April 11-17) and
Library Workers Day (April 13) at the March 23, 2010 City Council Meeting.
The board discussed the request for the proclamations to the City Council. Jeff encouraged all library
board members to attend the City Council Meetings.
5. Discuss the Library Advisory Board's Annual Report to the City Council Scheduled for the
March 23, 2010 Council Meeting.
The board discussed reporting the statistics by fiscal year versus reporting them by the calendar year.
We will report to the City Council the activities and programs for the 2009 year and the increased use
of the library
6. Discuss and Consider Calling A Special Meeting of the Library Advisory Board on March 2 to
Review the Presentation for the Annual Report.
The library board discussed calling a special meeting to review the Annual Report to be presented to
the City Council. The Special Called Meeting has been set for March 9' instead of the 2' due to the
Chair Person, Don Wing not being available on March 2
MOTION: Upon a motion made by Board Member, Hugh Brown and a second by Board Member,
Donna Drews Various, the Board voted six (6) for and none (0) opposed to approve a Special
Called Meeting on March 9, 2010. The motion carried.
7. Discuss Development of a Long -Range Plan for the Library.
Director, Jeff Timbs talked about the long-range plans for the library. Jeff told the board he was
thinking of longer than the strategic plan thin 2020. Library expansion was originally planned for 7-
10 years out The library building is now 5 years old. Our needs are across the board and Jeff hopes
to have the expansion complete in 6 years. The board will discuss these plans at the April meeting
and will start forming committees.
8. Review Calendar Items.
Calendar items were reviewed.

Member Cindy Biggs, the Board voted six (6) for and none (0) opposed to adjourn at 9:00
p.m. The motion carried.
These minutes approved on the 6th day of April, 2010.
