Min - Library Board - 2006 - 10/03 - RegularALLEN PUBLIC LIBRARY REGULAR MEETING OCTOBER 3, 2006 Present Jo Long, Board Chair Board members: Julia Elina Donna Drews Various Mary Jane Hamilton Susan McDaniel Ruth Pringle City Staff: Barbara Buehler, Library Director Theresa Seale — Support Services Manager Guests: Wilma Smith — Friends of the Library Call to Order and Announce a Ouorum is Present With a quorum of the Board members present, the Regular Meeting of the Allen Public Library was called to order by Board Chair, Jo Long, at 7:30 p.m. on Tuesday, October 3, 2006 in the Board Room of the Allen Public Library, 300 North Allen Drive, Allen, Texas Citizen's Comments. There were no Citizen Comments Approve Minutes of the August 8, 2006, Special Called Meeting. Motion. Upon A motion made by Board Member, Donna Drews Various, and a second by Board Member, Ruth Pringle, the Board voted (6) for and none (0) opposed to approve the August 8, 2006 Library Board minutes with corrections made. 3. Elect Officers Board Chair, Jo Long, opened nominations for the Library Board Officers for the new year. They are Chair, Vice -Chair, and Secretary Board member, Ruth Pringle suggested that we keep the current Officers as last year. They are as follows: ALLEN PUBLIC LIBRARY BOARD REGULAR MEETING OCTOBER 3, 2006 PAGE 2 Chair — Jo Long Vice -Chair — Donald Wing Secretary — Julia Elias Motion: Upon A motion made by Board Member, Ruth Pringle, and a second by Board Member, Donna Drews Various the Board voted (6) for and none (0) opposed to approve the Library Board Officer nominations for the new year. 4. Review Monthly Statistics and Suggestion Forms. The Library Board reviewed the monthly statistics and read the suggestion forms for August and September. Donna Drews Various commented on the Statistics on new items added, which were lower at this time of the year and also the Internet use. Library Director, Barbara Buehler commented that towards the end of the year we have used up most of our budgeted money. The Internet use was down due to having computer problems which has now been fixed. The computers were replaced with new ones which should solve a lot of our problems. Ruth Pringle asked how many of the auditorium reservations were actual rentals versus internal use by the library and city organizations. Library Director, Barbara Buehler commented that most of them were library and Friend's programs. However, at the Budget Retreat Barbara was asked to come up with a marketing program to increase revenues for use of the auditorium. Barbara, Tom Keener, and Dale Lackey sat down together to do some brainstorming for ideas. One of the major problems with auditorium rentals is that individuals have a hard time providing liability insurance which is required to reserve the auditorium. Your businesses such as the Allen Ballet already have insurance on their business so that is not a problem for them. One of the plans we came up with was to do a brochure marketing the auditorium and its' services and Tom Keener is going to take it to the Chamber of Commerce for them to give to their chamber members which promotes the auditorium for use as a training site, a place to hold meetings, and/or seminars and presentations. Barbara Buehler gave the board a copy of the year end report. The library almost broke the 600,000 mark in total items checked out. The program attendance and periodicals were up over the last year. Donna Drews Various wanted to know how we stand on materials per capita. Ruth relied 2.04. She said the only thing wrong with that is that the circulation per capita is 7.54 which is pretty high. 5. Downloadable Audiobooks— Theresa Seale. These will be free to our patrons, but they will have to come into the library and sit down at one of the computers to sign up for Net Library You cannot download them at the library Once a patron signs up and gets their account set up, their login and password they can go home and download audiobooks. You cannot use Mac it has to be a PC. We have 1,378 titles to choose from and we receive 30 new titles every month. This is a recorded books database, Net Library Recorded Books. There is best sellers, classics, book club favorites and the templar language program which has all kinds of languages, the Holy Bible is on there. You can check out 10 at a time for three weeks and they can be renewed once. We have had about 45 patrons sign up so far. The Friends has funded this for the first year and it is not cheap. Barbara replied, people who like to listen to recorded books and want them portable and one advantage is that multiple people can listen to the same one at the same time. They also have a database for children but we did not get it because there is another fee for it. 6. Loan Star Grant Proposal. Library Director, Barbara Buehler reported that we do not have the proposal ready but will tell us about it These is the sixth year that the State Library has made the Loan Star Grant available. It is unrestricted money the library gets and is based on the previous years budget. You can use it for anything but not for building. It can be used for materials, supplies, staffing etc. We used it this last year to buy computers for our computer lab. This year our staff has determined that it is needed for some special items for merchandising and marketing. The children will get some specialized shelving for their music material and we will get a colored printer for doing flyers and also use it for various signage. We will receive about $12,000 dollars and will have to submit a plan to the State Library on how we will use this money. We will have to do an end of the year report to them on what it was actually spent on Items of Interest. Wilma Smith with the Friends reported on a project they want to do for the year 2007/2008. They want all of Allen and to read the same book at the same time and have someone from every area of the city to be on committees to determine how they are going to get this out The Friends have spoken to the Border's Book Store and they will provide the author and the book. The Friends wants to get all of the service clubs, schools, library and the government involved. They would also like to have someone from the library board. Donna Drews Various and Jo Long both said they would be interested. They hope to kick this off after the first of the year. Wilma said there is also a matching grant that can be applied for. The Friends also have the Chocolate Orgy coming up and can use people to help set up and decorate. It will be held at the old fire station this year. Voting is going to be a little different this year to make it more fair for everyone participating Ruth and Marita from the children's department at the library will be attending the NETLS meeting on Thursday and they will be voting on a proposal. 8.
