Call to Order and Announce a Quorum is Present
With a quorum of the Board members present, the Regular Meeting of the Allen Public Library was called to
order by Cal Calvin, Board Chair at 7:32 p.m. on Tuesday March 1, 2005, in the Library Meeting Room of the
Allen Public Library, 300 North Allen Drive, Allen, Texas.
Items discussed in the preceding meeting workshop included:
• Consider Food and Drink Policy.
• Civic Auditorium Policy and Fees.
• Grand Opening Ceremony.

2. Approve Minutes of the December 07, 2004, and February 1, 2005 Regular Meetings.
Library Board minutes from December 7, 2004 and February 1, 2005 regular meetings were read and
approved
3. Review Monthly Activity Report and Suggestion Box Forms.
The Board reviewed the Monthly Activity Report which represented two weeks of foot traffic as the
patron counter was put in on February 23rd The counter was installed on the door coming in from the
gallery. Currently there is not a patron counter on the entrance facing Allen Drive
Upon reading the suggestion box forms, the board considered and discussed the following complaints
from patrons:
• It is too far for seniors to walk from the parking lots to the library.
• The turn radius is too tight in the drive-through book drop. After discussion based on
observation, the board determined this complaint may represent an isolated instance. Patrons
do have to get out of their vehicles to drop books into the book drop. The only way to avoid
that would have been to have a free-standing book drop.
• The Help button in the elevator is low, allowing children to press it, which in turn causes the
Fire Department dispatcher and/or Police to call the library to ask if help is needed The Help
button is in the proper place in accordance with the American Disabilities Act. The Board
considered putting up a sing and discussed how to make parents more responsible for their
children.
Report on Legislative Day.
Board member, Ruth Pringle, attended the Legislative Day in Austin. Ruth reported that 600 libraries
rely on the TexShare Databases and they will be cut from 49 to 5.
Review Library Ordinance and By -Laws.
The Board reviewed the Library Ordinance and By -Laws and decided that their goal would be to
revitalize the Board and assume stronger leadership. Ideas were discussed to establish and work in
committees to look at the Trust Fund and to get the community involved in a Library supported project,
such as the whole community reading a specific book.
Communication between employees in the Library is a concern. Due to the increased space, layout,
and all the doors, safety and security issues were discussed. The Board thought that pagers might be a
solution. Library Director, Barbara Buehler was looking into a new product as a possible solution.
With the recent break-in of the Richardson Library, the need for security was discussed. The Board
decided that the need for security should be discussed with Council members.

The Allen Spelling Bee will take place on Tuesday, April 5, 2005. The Library Board will move there
regular board meeting to Monday, April 4, 2005 so they may support the Allen Spelling Bee.
