Min - Library Board - 2005 - 10/04 - RegularI ALLEN PUBLIC LIBRARY REGULAR MEETING OCTOBER 04, 2005 Present: Julia Elina, Board Vice -Chair Board members: Jo Long Donna Drews Vanous Donald Wing Susan McDaniel Mary Jane Hamilton City StafL• I Barbara Buehler, Library Director Guest: None Call to Order and Announce a Ouorum is Present With a quorum of the Board members present, the Regular Meeting of the Allen Public Library was called to order by Julia Elina, Board Vice -Chair at 7:35 p.m. on Tuesday October 4, 2005, in the Board Room of the Allen Public Library, 300 North Allen Drive, Allen, Texas. Reeular Aeenda Citizen's Comments. There were no Citizen Comments, 2. Elect Officers. Board member Jo Long was nominated for Library Board Chair Board member Donald Wing was nominated for Library Board Vice -Chair. Board member Julia Elina was nominated for Library Board Secretary The Library Board voted unanimously to elect all of the above nominations. ALLEN PUBLIC LIBRARY BOARD REGULAR MEETING OCTOBER 4, 2005 1 3. Approve Minutes of the July 5, 2005, Regular Meeting and August 27, 2005 Workshop. The library board approved the July 5, 2005 regular minutes and the August 27, 2005 Workshop minutes. (The board attended the Young Writer's Reception for the September meeting). 4. Review Monthly Activity Report and Suggestion Forms. The Library Board reviewed the September monthly reports and the Summer Reading Club Report, prepared by the Children's Services Manager, Marita Richards. The Board also reviewed the Teen Summer Program report, prepared by Senior Librarian, Debbie Vavra, who is over the Teens and Information Desk. The Suggestion Box Forms continue to contain requests for closer handicapped parking. Other suggestions from patrons covered the following topics: Request for computers to be fixed. Request for wireless access in the library. Requests (2) to lower late fees. :• Two Thank You notes for books in Spanish. 5. Consider Meeting Room Fees. The Library Board was asked to recommend meeting room fees to standardize room rental fees in the City of Allen. After reviewing fees charged by area libraries and other rooms rented out in the city the board elected to recommend the fee structure used at the Burleson Public Library. The Burleson Library charges $50.00 (2 hour minimum) for their large meeting room and $30.00 for their small meeting room with a $25.00 charge for each additional hour. In addition to the fee a deposit of $50.00 is required if no food or drink is served. If food or drink is served the deposit is $100.00. If damages to the room goes over the deposit amount the patron is required to pay the difference. 6. Consider Drive -Up Window Service. Library Board Director, Barbara Buehler announced to the board Allen Public Library will be introducing drive -up service for the disabled and the elderly Patrons will have to call ahead with the title or titles of the books they wish to pick up and staff will place them on hold and have them available for pick-up at the drive-thru window There will be no charge for this service and the drive- thru window will only be open for a specified time frame Update on Annual Budget Library Director, Barbara Buehler updated the library board on the 2006 annual budget.
