Call to Order and Announce a Ouorum is Present
With a quorum of the Board members present, the Regular Meeting of the Allen Public Library was called to
order by Julia Elms, Vice -Chair at 7:35 p.m. on Tuesday June 01, 2004, in the Library Small Conference Room
of the Allen Public Library, 2 Allen Civic Plaza, 301 Century Parkway, Allen, Texas.
Board Chair, Cal Calvin arrived late. Library Director, Barbara Buehler took the minutes as Board member,
Ruth Pringle was absent.
Items discussed in the preceding meeting workshop included
• Review Monthly Activity Report and Suggestion Box Forms.
• Status of TexShare Card Program.
• Report on Unique Management Activity.
• Update on Building Status.

2. Approve Minutes of the May 04, 2004, Regular Meeting.
The minutes were approved as mailed.
3. Review Monthly Activity Report and Suggestion Box Forms.
The Board reviewed Monthly Activity Reports and Suggestion Box Forms were read and discussed.
4. Review Courtyard Plan.
The Board reviewed the architectural plans for the courtyard—they preferred the plan featuring a wall
as there will need to be a suitable place to display the library's donor wall.
5. Discussion Regarding Policy for use of Civic Auditorium.
Library Director, Barbara Buehler gave the Board three policies to begin reviewing for the formulation
of a policy regulating use of the Civic Auditorium. The policies for review were from Dallas Public,
Garland's Plaza Theatre and the AISD policy
6. Review Summer Youth Programs.
The Board reviewed the youth programs for this summer.
7. Upcoming NETLS Meeting.
The Board discussed the upcoming NETLS Awards Meeting and Luncheon. Board members, Donald
Wing and Ruth Pringle are going to attend along with Library Director, Barbara Buehler.
8. Other Business
Library Director, Barbara Buehler, informed the Board that local voting will be moved back to the
library and since it will occupy the library's meeting room, all programming (including children's) will
he cancelled beginning in early October. Board member, Donna Vanous noted that during the same
period last year, 2,250 children attended programs at the library.
The City Annual Reports were given to the Board.
Board member, Cal Calvin, presented information about a performer he would like to be considered for
the new library grand opening ceremony. Native American Indian, Lisa Thomas, who plays piano for
the Allen Symphony and is a doctoral candidate at UNT, presents vocal and instrumental New Age
style music.
