Min - Library Board - 2001 - 11/06 - RegularALLEN PUBLIC LIBRARY REGULAR MEETING NOVEMBER 06, 2001 Present: Cal Calvin, Board Chair Board members: Julia Elina Jo Long Ruth Pringle City Staff: Barbara Buehler, Library Director Guest: ® Sandy W ittsche, Member of the Friends Call to Order and Announce a Quorum is Present With a quorum of the Board members present, the Regular Meeting of the Allen Public Library was called to order by Board Chair, Cal Calvin at 7:30 p.m. on Tuesday, November 6, 2001, in the Allen Library Meeting Room of the Allen Public Library, 2 Allen Civic Plaza, 305 Century Parkway, Allen, Texas. Items discussed in the preceding meeting workshop included: • Election of Officers. • Update on Meeting Room Policy. • Update on Lone Star Direct Aid Program. • Plan for representation at NETLS membership meeting. • Review Monthly Activity Report and Suggestion Box Forms. Regular Agenda 1. Approve Minutes of the October 2, 2001, Regular Meeting. Motion: Upon a motion made by Board member Jo Long and a second by Board member Julia Elina, the Board voted (4) for and none (0) opposed to approve minutes of October 2, 2001. ALLEN PUBLIC LIBRARY BOARD REGULAR MEETING NOVEMBER 6, 2001 PAGE 2 1 2. Citizen's Comments. There were no Citizen Comments. 3. Report by Chair on recent NETLS meeting and Advisory Council Orientation. Board member Cal Calvin was highly impressed by the Advisory Council Membership and their dedication to maintaining and improving the Library Systems of Texas. The focus of these meetings was the Legislative Process for the Lone Star Direct Aid. The Lone Star Direct Aid received 2 million this year, which was far short of the amount asked for. It was generally felt, however, that being included in the current budget was an achievement. Lobbying must begin and continue with each Legislature Process to achieve the final goal. 4. Consider Letter of Commendation to Friends of the Library. A copy of the letter was reviewed by the Board Members. Motion: Upon a motion made by Board member Ruth Pringle and a second by Board member In Long, ® the Board voted (4) for and none (0) opposed to send a Letter of Commendation to the Friends of the Allen Public Library. Friends of the Library member, Sandy Wittsche stated that the Friends of the Library have designated October as Membership month. The goal for this year was to increase membership by 100%. This goal has been achieved with a total membership of 200 people. Sandy Wittsche reported that the attendance at the "Chocolate Orgy" doubled to 70 people compared to last year. The American Library Association has requested photos, to be used with information from the article published in the Dallas Morning News, for publication in the American Libarmies. 5. Consider Letter of Commendation to Donna Vanous. Library Director, Barbara Buehler agreed to write the Letter of Commendation to Donna Vanous. Motion: Upon a motion made by Board member Jo Long and seconded by Board member Julia Elina, the board voted (4) for and (0) opposed to send a Letter of Commendation to Donna Various. Donna Vanous has been on the Board for the last six years, Chairman for 3 years, and a member of the Friends of the Library and continues on the Planning Committee during the inception, bond election and planning stages of the new library 6. Report by Library Director on recent PLANT Conference attendance. Barbara Buehler reported on her attendance at the PLANT Conference held at Paradise, Texas. Highlights were a Disaster Planning Seminar presented by the former Director of the Oklahoma City Public Library and a New Library Building Planning Seminar presented by a Library Consultant and an Architect. ALLEN PUBLIC LIBRARY BOARD REGULAR MEETING NOVEMBER 6, 2001 PAGE 3 7. Discussion on Planning and Goal -setting exercise. Board member Chair, Cal Calvin gave an explanation of the exercise. Various projects will be considered to give the Board (and possibly the Friends of the Library) "ownership" in the new library The Board was challenged to think of ideas. Work will begin on this project at the next meeting. Some additional workshops may be required to accomplish this goal. 8. Update on Lone Star Direct Aid Program. Library Director, Barbara Buehler, gave an update on the Direct Aid Program. The City Officials and Barbara Buehler will be committing to serving anyone in Texas. This will allow an additional amount of aid from this state program. The library already serves anyone in Collin County by re- ceiving aid from the county. 9. Review Monthly Activity Report and Suggestion Box Forms. Monthly Activity Report and Suggestion Box Forms were reviewed. No action was necessary Other Business 10. Friends of the Library will hold their annual "Recycle -A -Book" campaign this month. Each child is asked to bring two books and exchange them for one book of his own choosing. The remaining "recycled books" will be donated to various charities such as Samaritan Inn. Christi Cooper, a Mary Kay Product salesperson, requested permission to hold beauty workshops during the children's hours at the library. She stated she would not solicit sales. The Board felt this would still be a commercial endeavor. No commercial promotion may be done in the library building except that promoting the library 11. Calendar. • December 4, 2001, Allen Public Library Board, Regular Meeting. The Board adjourned its regular meeting at 9:00 p.m. on Tuesday, November 6, 2001.
