The regular monthly meeting of the Allen Public Library Board was called to
order at 7:30 p m by Chair Donna Various. Other members present were John
Ross, Joe Defenderfer and Dee Teel Wilma Smith from Friends of the Library
was also present Library Director Barbara Buehler and members Frank Snidow,
Mary Grube and Rhonda Grigg were absent. Dee Teel was volunteered as
temporary secretary
II. The Chair introduced Katherine Poteet, Public Information Officer from the City
of Allen's Media Department Katherine passed out copies of the City of Allen's
"Media Relations Policy" and "Working with the Media" Katherine made the
following points
The Public Relations Officer serves as the primary liaison between the
media and City departments, excluding the Police Department in most
situations
If you keep something from the media, you are keeping something from
the public
As members of a city board, we are the city and the city is accountable to
the citizens of Allen
Respect the feelings of the entire board you are appointed to when you
express your opinions (Also note as city employees, we have no
opinions )
Texas Public Information Act and the Open Records Act are not the same
as Freedom of Information Act, which pertains to Federal Agencies only
Katherine gave us the City Media Relations dispatch telephone (972-727-0222)
and the name of Captain Robert Flores, Media Relations for the Police
Department
III, The minutes of our meeting on May 4 were reviewed. Donna Vanous suggested
"John" be inserted before the name "Ross" under Roman numeral VI of the
E'° minutes. The minutes were approved unanimously

IV. Update on the status of the Library study was discussed. Results of the study are
expected later in the summer
V. The yearly NETLS Awards Meeting is scheduled for June 14 at the Hampton Inn
Suites John Ross made a plea for someone on the Library Board to attend this
year's meeting Dee Teel and Wilma Smith expressed a desire to go. It was
decided that Dee and Wilma would get back with Barbara Buehler before
Monday, June 7a' if they can attend
VI. The Monthly Report from the Library was reviewed "Storytime(Film
attendance" drop was noted Also, it was noted that a drop in "Items Checked
Out" and "Periodicals Requested" might be attributed to our early school closing
VII. Suggestion Box notes were read and noted.
VIII. Other business discussed: Our meeting in July There was a question as to
whether we would meet July 6ih or not Notices will be mailed tons if there is to
be a meeting
IX. The meeting was adjourned at 900 p.m.
