Min - Library Board - 2019 - 08/06 - Regular ALLEN PUBLIC LIBRARY REGULAR MEETING AUGUST 6, 2019 Present: Shahmeen Khan, Board Chair Board Members: Michelle Perry, Vice Chair Scott Phillips, Secretary Jack Bick Kimberly Hinton Rekha Mathai Maroba Zoeller City Staff/Officials: Jeff Timbs, Director 1. Call to Order and Announce a Quorum is Present. With a quorum of Board Members present, the Regular Meeting of the Allen Public Library was called to order by Board Chair Shahmeen Khan at 6:30 p.m. on Tuesday, August 6, 2019, in the Allen Public Library Board Room, 300 North Allen Drive, Allen, Texas. 2. Welcome Any Visitors Present and Introduce Board Members. There was one unidentified visitor present. 3. Approve Minutes of the May 7, 2019 Regular Meeting. MOTION: Upon a motion made by Scott Phillips and seconded by Board Member Michelle Perry, the Board voted seven (7) for and none (0) opposed to approve the May 7, 2019 minutes. 4. Provide Feedback on the 2018 Annual Report for the City Council and Suggestions for the 2019 Annual Report. The Board liked the emphasis on the past year's programs and the inclusion of Board members' comments about the Library's value to the community. ALLEN PUBLIC LIBRARY Page 2 REGULAR MEETING AUGUST 6,2019 5. Review Status of the Family Place Libraries Project. Library Director Jeff Timbs reported that 16 to 17 families consistently attended the February- March programs. ACTV produced a video about the Family Place Libraries Project to be shared with City Councilmembers and Allen citizens. The second series of Family PLACE Parent-Child Workshops are scheduled for September 6- October 4,registration began August 5 and filled up on August 6. The children's play area that is part of the Family Place Libraries program is used frequently, and the new parenting book collection in the Children's Library is growing in popularity. 6. Discuss Summer Reading Club Activities and Participation. Summer Reading Club program attendance increased by 1.6%overall over 2018,4.9% for youth programs. The most popular programs were Dallas Zoo, Magical Balloon Show, Stunt Juggler Matt Tardy, and REPCO Wildlife. Reading Club registration consisted of 1087 pre- readers, 3859 K-6 students, 982 teens, and 1403 adults. 7. Review and Discuss April, May, and June 2019 Library Statistics. April and June visits were consistent with 2018, and May visits increased significantly (25%) due to the earlier release date in the school calendar. Checkouts continued to increase, and digital checkouts even more(31%-35%)due to the expanded availability of e-books and e- audiobooks through the cloudLibrary platform. 8. Update on Business Databases. Economic Development expressed an interest in sponsoring A to Z Databases, but there have been no recent developments in the partnership. 9. Summary of the 2019-2020 Budget Process and Status. Director Jeff Timbs provided a summary of the City budget process, the Library's proposed budget, and important dates in the process. 10. Recap Friends of the Library, Allen Library Endowment Fund, and ALLen Reads Activities. The ALLen Reads book this year is The Boy Who Harnessed the Wind by William Kamkwamba and Bryan Mealer. Co-author Mealer will visit Allen schools on October 18th and the Library on the afternoon of October 19th. That evening, he will speak at an Allen Library Endowment Fund event. Items of Interest.[Board announcements regarding local civic and charitable events, meetings,fundraisers, and awards.] i. September 1-2 - Library Closed for Labor Day. ii. September 3 - Fall Preschool Story Times Begin. iii. September 6 - October 4 - Fall Family Place Workshops. iv. November 1 - Library Closed for Staff In-Service Day. v. November 5 -Next Scheduled Board Meeting at 6:30 p.m. in the Library Board Room. 13. Adjourn. MOTION: Upon a motion made by Board Member Michelle Perry and seconded by Board Member Maroba Zoeller, the Board voted seven (7) for and none (0) opposed to adjourn the Board meeting at 7:30 p.m. These minutes approved on the 5th day of November 2019.
