Call to Order and Announce a Quorum is Present
With a quorum of Board Members present, the Regular Meeting of the Allen Public Library was called to
order by Board Chair, Devita Widmer at 6:30 p.m. on Tuesday, November 1, 2016, in the Allen Public
Library Board Room, 300 North Allen Drive, Allen, Texas.
1. Welcome New Board Member Vatm Ramanathan.
The Library Board warmly welcomed new member Vatsa Ramanathan, who also serves on the
Friends of the Library Endowment Fund Board.
2. Elect New Officers for 2016-2017.
The Library Board nominated and elected the following:
Chair — Devita Widmer
Vice -Chair — Diane Knaack
Secretary — Kimberly Hinton
3. Approve Minutes of the Aueust 2.2016 Regular Meeting.

MOTION: Upon a motion made by Diane Knack and seconded by Shahmeen Khan, the Board voted
six (6) for and none (0) opposed to approve the August 2, 2016 minutes with the correct
spelling of Devita's first name, correct spelling of Vatsa's last name and correct spelling of
Diane's last name. The motion carred.
4. Update on Library Perking Expansion.
The City Council approved contracting with BW2 Engineers, hie. for the Library parking
expansion project. BW2 will work with the City's Engineering Department who has
received Library input. The total parking spaces will increase from 184 to approximately
428 based on the final design and include an entrance from St. Mary Drive. Concerns
discussed included the lack of visibility on Coats Drive near the drive-through book drop due
to on -street parking and patron access to the parking spaces closest to the Library sometimes
occupied by non -patrons.
5. Discuss the Library's 50" Anniversary Celebration in 2017.
' The Library's Cultural Arts staff will begin working on a video detailing the Library's
history, recent events, and future plans. Interviewees will include influential figures such as
Ruth Pringle, former mayor Joe Fainter, and current mayor Steve Terrell. The plan is to
premiere the video at an event in February 2017 during Love Your Library month.
Throughout the year, display cases will focus on different decades beginning with the 1960's
and include current events from each time period. Other celebration ideas include a new
design logo and monthly themes culminating in an October birthday party.
6. Review and Discuss June, July, August. September. and Year -End 2016 Library Statistics.
The circulation goal of 1.1 million was met for 2016. The goal for next year is 1.2 million.
Foot traffic was 378,349 for 2016, and the next target is 400,000. June 2016 was the busiest
month for circulation at 116,538 (July 2016 was the next busiest). Program attendance was
up significantly in July 2016 from the previous July, and combined foot traffic for Jane and
July 2016 was almost 87,000. Staff changes in summer 2015 resulted in fewer titles being
added in August 2015, which in turn created a backlog and an increase in titles added in the
following months. The Halloween 2016 story time had 250 in attendance and demonstrated
' the need for a larger children's program room to accommodate 300 in the new expansion.
Regular story time attendance frequently reaches 90-100, in a room with 120 maximum
people allowed. The courtyard garden has been a wonderful addition and will hopefully be
incorporated into the summer reading kickoff next year.

7. Updates on Friends of the Libmrv. Friends of the Library Endowment Fund, and ALLen
Reads Activities.
The Friends of the Library held a recruitment reception for new members and officers. The
Friends of the Library Endowment Fund held a fundraiser in September, realizing a $7,000
profit. The Endowment Board members are working on fundraising for a Library robotics
program. The ALLen Reads book for 2017 will be brown girl dreaming by Jacqueline
Woodson, recounting her childhood in verse. ALLen Reads is negotiating for a March 2 visit
by Ms. Woodson. The children's books have not been finalized but may be books by the
same author with illustrations by E.B. Lewis. Mr. Lewis might then be scheduled to visit the
Library and Allen schools. ALLen Reads will tie into the 50th Anniversary Celebration
themes of community, family, acceptance, and diversity.
8. Discuss Items for Future Board Meetine Aeendas.
Planned topics for the February 7, 2017 meeting include 50'^ Anniversary Celebration and parking
' and building expansion.
9. Items of Interest.
a. November 24-25 — Library Closed (Closes at 6 p.m. November 23).
b. December 9 — Board Appreciation Dinner.
c. December 23-26, January 1 — Library Closed.
d. February 7, 2017 —Next Scheduled Board Meeting, 6:30 p.m.
e. Other Calendar Items:
December children's programs in the auditorium include Jingle & Jolly's Christmas show on
December 21 at 2:30 p.m., and Swiss the Magician on December 28 at 2:30 p.m.
10. Adjourn.
MOTION: Upon a motion made by Michelle Perry and seconded by Shahmeen Khan, the Board voted
six (6) for and none (0) opposed to adjourn the board meeting at 7:37 p.m. The motion
carried.
