REGULAR MEETING

1. Call to Order and Announce a Quorum is Present.
With a quorum of Board Members present, the Regular Meeting of the Allen Public
Library was called to order by Board Chair Shahmeen Khan at 6:30 p.m. on Tuesday,
February 6, 2018, in the Allen Public Library Board Room, 300 North Allen Drive, Allen,
Texas.
2. Approve Minutes of the November 7, 2017 Regular Meeting.
MOTION: Upon a motion made by Scott Phillips and seconded by Devita Widmer, the
Board voted six (6) for and none (0) opposed to approve the November 7, 2017 minutes.
The motion carried.
3. Discuss the 2016-2017 Annual Report for the City Council.
The dates and format for each City Board’s annual report for the City Council will change,
and details will be forthcoming.

4. Discuss Board Participation in the Summer Reading Club Kickoff Carnival.
The Summer Reading Club Kickoff Carnival will take place on Saturday, June 9, and the
Board members are invited to participate.
5. Review Black History Month Activities.
Activities include Jazz, Spiritual, and Gospel music, as well as programs about Negro
League Baseball, legendary mail carrier Stagecoach Mary, and WWI Pioneer Units.
6. Update on the Coding/ Robotics Program Initiative for Children.
92% of the funding has been used to purchase equipment. Programs are planned monthly,
including an Easter Egg STEM activity in March, Learning Little Bits in April, and a Star
Wars STEM program in May.
7. Review Potential Designation as a Family Place Library.
Family Place Library designation involves a $10,000 grant through the Texas State
Library. The designation would involve adding a play space and scheduling parent-child
workshops.
8. Update on Library Parking Expansion.
The Phase I parking expansion is finished, and the additional parking spaces are much
appreciated. All disabled parking spaces for Phases I and II have been properly painted
and signed.
9. Review Expansion and Use of the Digital Collection.
On December 12, the Cloud Library agreement was approved by the City Council.
Patrons now have access to 84,000 e-books and audio books. Digital checkouts represent
five percent of total circulation.
10. Review and discuss October, November, and December 2017 Library Statistics.
Foot traffic increased by 8.4% in the first quarter of the fiscal year, program attendance
went down because of varying school breaks, and circulation held steady.

11. Updates on Friends of the Library, Allen Library Endowment Fund and ALLen
Reads Activities.
The Summer Reading Club Kickoff is planned for June 9. The Allen Library Endowment
Fund held a fall fundraiser. The ALLen Reads book has been chosen, with an author visit
scheduled for October 18.
12. Discuss Items for Future Board Meeting Agendas.
None discussed.
13. Items of Interest. [Board announcements regarding local civic and charitable events,
meetings, fundraisers, and awards.]
14. Adjourn.
MOTION: Upon a motion made by Scott Phillips and seconded by Rekha Mathai, the
board voted six (6) for and none (0) opposed to adjourn the board meeting at 7:24 p.m.
The Motion Carried.
