1. Call to Order and Announce a Quorum is Present.
With a quorum of Board Members present, the Regular Meeting of the Allen Public
Library was called to order by Board Vice Chair Michelle Perry at 6:30 p.m. on Tuesday,
August 7, 2018, in the Allen Public Library Board Room, 300 North Allen Drive, Allen,
Texas.
2. Apnrove Minutes of the February G 2018 Regular Meetin .
MOTION: Upon a motion made by Board Member Devita Widmer and seconded by
Board Member Scott Phillips, the Board voted seven (6) for and none (0) opposed to
approve the May 1, 2018 minutes. The motion carried.

3. Recap the 2017 Annual Report and Public Reco nition at the July 241h City Council
Meeting and Discuss Ideas for the 2018 Annual Reoort.
Board Chair Shahmeen Khan gave an excellent presentation to the City Council, and the
presentation by Jeff Timbs was well-received, The Board supported returning to a video
presentation for the next Annual Report.
4. Preliminary Update on the November 30'h City Council Christmas Tree Lighting at
the Library.
The Christmas Tree Lighting has had over 2000 in attendance in the past, so the Library
was chosen beginning this year to host the festivities. The Library will close around 4
p.m., and the festivities are scheduled for 5 to 8 p.m. that Friday evening. There will be
food trucks, craft vendors, and photos with Santa. The tree will be installed in the middle
of the roundabout.
5. Ryvicw Stotus 0f Library Parking and Landscaning.
An elm tree was lost due to drought, and Allen Parks and Recreation will arrange to
remove and replace it. Other watering options are being considered. The extra parking
has been helpful for special events, and there is no doubt more parking will be needed. A
traffic study on Coats Drive was completed, and curbs at the intersection were painted red
to indicate prohibited parking.
6. Discuss Future Library Expansion.
The design phase is scheduled to begin in approximately 18 months.
7. U date on May 91h Polaris Integrated LibraLibraly Software Upgrade and Future
Software Developments and Implications.
The new library catalog is more user -responsive, with options to request a book be put on
hold with one click, and also a notification that a searched item is already on hold.
8. Recan 2018 Summer Reading Club -Activities and Statistics.
This summer was the busiest summer on record, with over 5,300 children registered in the
summer reading club. Over 1,000 teens were registered. The largest increase was the
number of adults participating: over 1,900 adults participated, which was a 31°•o increase
from previous years.

9. Review and discuss April. May, and June 2018 Library Statistics.
In April, check-outs rose over 3%, and new patrons increased 14%. In May, there was a
slight increase in check-outs, while program attendance was up 33% and the number of
visitors rose by 7%. In June, check-outs rose by 4%, patrons increased by 10%, and
program attendance rose by 33%. Foot traffic was down in June, showing that more space
is needed.
10. Review Status of Family Place Library and Texas Book Festival Grants.
A children's play area and parenting collection are planned for the children's section. The
Texas Book Festival Grants will provide additional children's a -books and award-winning
books.
11. Receive Report eg the Library's Proposed Budget for 2018-2019.
The Library is applying for more grants, including the Texas Commission of the Arts for
additional performers' appearances and the Texas State Library impact grants for
children's technology and early -learning literacy. Utilities are now added to the library
budget, but this is not an actual budget increase. The budget vote is scheduled for
September 11.
12. Updates on Friends of the Library. Allen Library Endowment Fund and_ALLen
Reads Activities.
Funding continues for the Arts at the Alien Public Library program, and donations are
being accepted through the Allen Library Endowment Fund's new website. The Allen
Philharmonic will perform on October 7. The ALLen Reads book is The War That Saved
My Life, and author Kimberly Brubaker Bradley will visit on October 18.
13. Discuss Items for Future Board Meeting Agendas.
No new items were suggested.

15. Adiourn,
MOTION: Upon a motion made by Board Member Devita Widmer and seconded by
Board Member Rekha Mathai, the board voted six (6) for and none (0) opposed to adjourn
the board meeting at 7:40 p.m. The Motion Carried.
