ALLEN ARTS ALLIANCE BOARD
REGULAR CALLED MEETING
JANUARY 4, 2000 — 6 PM

I. CALL TO ORDER
Chair, Evelyn Dawson called the meeting to order at 6.10 p.m.
IL APPROVE THE MINUTES FROM DECEMBER 7, 1999
REGULAR CALLED MEETING
MOTION: Gregg Layton moved to accept the Minutes from
December 7, 1999 Regular Called Meeting as presented.
Shannon Kelley seconded, and the Motion carried 5 for, 0
against.

III. CITIZENS COMMENTS
There were no citizens present wishing to speak to the Board at this
time.
IV. DISCUSSION ON AMANDA DUNBAR PROPOSAL
Shannon Kelley reported having spoken to Mr Ben Vallente, Agent for
Amanda Dunbar regarding the possibility of her doing a piece of art for
the new City Hall. Shannon discussed a possible meeting with Mr
Vallente and the Allen Arts Alliance Board Members on Wednesday,
January 5, 2000. She will be contacting all members when she has
further information on this meeting.
In addition, Shannon reported having met with City Manager, Peter
Vargas as well as Mayor Steve Terrell regarding the possibility of using
a piece of this art in new City Hall facility
V. ART FEST 2000
A brief over overview of Art Fest 1999 was given including the number
of entertainers, tents, artists and refreshment areas used. It was
estimated that between the hours of 10 a.m. and 6 p.m., approximately
2,000 visitors enjoyed various entertainment and exhibits offered. A
brief discussion was held regarding using this event as a "kick-off" for
the Summer Concert Series, and featuring a children's entertainer such
as Eddie Coker on a Monday or Tuesday night.
MOTION: Gregg moved to accept Art Fest as a kick-off event for the
Summer Concert Series as discussed, with Monday
evenings being the night of choice and producing the event
with a children's focus Shannon Kelley seconded, and
the Motion carried 5 for, 0 against.
VI. DISCUSSION ON BUDGET FOR 1999/2000
Chairman Evelyn Dawson reported on the last meeting she attended with
the Allen Community Development Corporation (CDC) Board. She
indicated that the contingency funds requested earlier had been removed
from the approved amounts, and that the projects had been approved as
requested.

4 A brief discussion followed regarding the contract being proposed for
use by the CDC Board and the recipient of funds, along with criteria,
deadlines, and format of proposals being brought to the Board. It was
determined that this discussion might be better suited for a Saturday
workshop It was determined that this Board will meet on Saturday,
January 22, beginning at 9 a.m. in the Allen Senior Citizens Building.
An Agenda will be posted for this meeting by staff and facility
arrangements will be made.
VII. LIBRARY/ARTS FACILITY
Don Horton told the Board that a joint meeting with City Council and the
Library Board has been set for the next regular meeting of the AAAB on
February 1, 2000 - 6 p.m. in the Library Meeting Room.
VIII. COMMUNICATIONS
Evelyn Dawson reminded the Board of the database of information
regarding people who wanted to volunteer for the arts in Allen. She
requested the Board consider a mailing to these individuals, possibly in
the form of a newsletter regarding the arts activity in Allen. It was also
suggested that the Board vacancies be announced and invite people to
apply for these positions.
MOTION: Lori Fairchild moved to recommend the mailing of a
newsletter (8 5 x 11) and retain the services of World
Wide Deb to produce it. This information will also be
posted on the Allen Arts Alliance web page. Gregg
seconded, and the Motion carried 5 for, 0 against.
It was also suggested this document be taken to the Allen Senior Citizens
as many of them might be interested in these opportunities
IX. ITEMS OF INTEREST
Introduction of Special Activities Coordinator
Larry Kirk, Athletic Superintendent for the City of Allen Parks
Department introduced Lisa Anderson to the board members, and
indicated she would be working with this Board to coordinate activities.

Lisa provided the Board with a brief background on her work history,
and the Board introduced themselves on an individual basis.
IX. OTHER BUSINESS
Shannon Kelley wanted to clarify with the Board that the Allen Civic
Ballet and the Allen Conservancy for Dance were not financially
supporting one another.
Tess McKeown indicated that she had forwarded email regarding grant
foundations and that further information was available in either a cd-rom
format or in hard copy She indicated she would re -send that
information to the Board members following this meeting as none
received the email.
Don indicated that the web page would be linked to the City of Allen
email service in the near future, and that staff would be forwarding any
correspondence to appropriate Board members.
XI. ADJOURN
There being no further business, the meeting was adjourned at 8:20 p.m.
