CALL TO ORDER Chair, Barbara Eubanks called the meeting to order at 5:47 p.m. II. WORKSHOP: GOAL SETTING, VISION STATEMENT, FOCUS GROUPS — ART LACY Barbara Eubanks announced that she wanted to begin the Workshop by reviewing the Focus Group Information assigned at the last meeting. Page 2 Allen Arts Alliance Board Meeting August 19, 1998 Barbara provided the Board with information from the last meeting, and asked for progress reports from people in gathering the contact information for the groups. Lori Fairchild began by providing the Board member with copies of her draft letter and the questions to be asked of the invitees. It was determined that with minor adjustments, the letter was what the Board wanted to represent them. It was determined that if the questions were not detailed enough, the facilitator could expound on those during the focus group sessions rather than risk pre -conditioning people. Art Lacy reminded the Board that their mission was to solicit an unbiased response from the residents of Allen. He indicated he felt the questions being asked were appropriate. Barbara Eubanks indicated that John Scoville would be acting as the facilitator for the first two focus groups, and holding a brief training session for Board members following each of the sessions. He felt it was more effective to have the trainees be a part of the group first, then train to become a facilitator It was suggested that lunch, dinner, breakfast, etc be offered to he participants of the Focus Groups. Barbara indicated she would check with Don regarding funding for this. Barbara also indicated that a scribe would be needed at each of the focus group meetings to record thoughts on a flip chart. Art indicated he felt the visual aid of a flip chart was an important part of the process. Barbara indicated she would be making reservations for these groups to meet in either the Library or Bethany Lakes Clubhouse, whichever facility was available. She indicated the Board was very receptive and told Barbara there should not be a problem with the funding of the Holiday Concert for the Allen Symphony It was agreed that the recognition during this event should read as follows: Sponsored by- Allen Arts Alliance Board Funded by, Allen Community Development Corporation Board She also reported that the Allen CDC Board members were anxious to have a joint meeting with this Board to discuss the vision statements of both entities. Barbara invited the Allen CDC Board Members to attend the focus group meetings. Art Lacy briefly discussed Mission Statements and Vision Statements. He indicated that the Mission Statement adopted by this Board ("to promote, nurture and celebrate the arts in Allen") was very powerful and appropriate. Gregg Layton indicated he felt that was the same as a Vision Statement for the Board. Art said he felt the mission statement indicated "the way things are", and that the vision statement would indicate "the way we want things to be" He also said that following the focus group meetings, each member should return to the Board with the data collected, and from that data, a vision statement would be developed. This would be accomplished at the scheduled workshop to be held on Saturday, September 26. III.
