ALLEN ARTS ALLIANCE BOARD
REGULAR CALLED MEETING
SEPTEMBER 5, 2000 — 6 P.M.

CALL TO ORDER
Chair, Evelyn Dawson called the meeting to order at 6:15 p.m.

APPROVE THE MINUTES FROM AUGUST 1, 2000 REGULAR CALLED
MEETING
MOTION: Cindy Kaleta moved to accept the Minutes from August 1, 2000
Regular Called Meeting as presented. Deb Stelert seconded and the
Motion carried 5 for, 0 against.
2000-2001 FUNDING
Special Activities Coordinator, Lisa Anderson presented a brief overview of the
proposed Budget for 2000-2001 where it pertains to the Allen Arts Alliance. This
budget will be adopted by the Allen City Council in September, and presented
formally to this Board at the first meeting in October. Lisa informed the Board
that $115,000 was being proposed for this Board's budget and this funding was
coming from the antenna rental fees paid to the City of Allen for water tower
usage.
CIVIC PLAZA FUND RAISING EFFORTS
Staff reported having received $3.100 from 27 donors to date for this effort.
Appreciation was expressed to Board Member, Deb Sietert for all the work she
did on the plaza brochure mailed to the residents and businesses of Allen.
Tess McKeown urged each of the Board members to consider donating $100 of
their personal money toward a plaque in the plaza for the Allen Arts Alliance
Board, listing the members individually Also, it was suggested that the Chamber
of Commerce Newsletter might be a platform to reach the businesses regarding
donations to this effort.
DISCUSSION ON LIBRARY/AUDITORIUM FACILITY
Mary Vail informed the Board that with the passage of the Bond Election for
funding of this facility, the next step would be for the City Manager and herself to
meet with property owners of which there are seven to negotiate the purchase of
this land Following this, an architect will be hired, and the bonds for this project
will be sold in April, 2001. Mary recommended a Board member be designated
as a contact person and that person could bring information from the
subcommittee to the Board as the project progresses. Evelyn Dawson suggested
that the public be kept updated regularly in the media about the progress of this
project.

It was confirmed that for this year, the Allen Art Fest 2001 would be held to
q conjunction with the Allen USA celebration on June 30. A discussion was held
on the format of the promotional theme to be used, volunteer programs, as well as
large sponsorships being sought. The Board was reminded that the goal of this
year's event will be an "all day event"
8. UPDATE ON AUTUMN RHYTHM CONCERT SERIES AND SUNDAY
SOUNDS CONCERT SERIES
Lisa Anderson gave a brief update on the Autumn Rhythm series, and indicated
she was working on a concessionaire for this event. It was suggested she try
Starbuck's and it was also suggested that shirts should be ordered for the Board
and staff members for this event.
Tess reminded the Board that the Sunday sounds Concert series has been
scheduled, performers obtained, and she would be needing volunteers to host each
event. Staff will be ordering the signage similar to the one that was used last year.
9. OTHER BUSINESS
Lisa Anderson mdtcated she would order the Board shirts — black with
embroidered "Allen Arts Alliance Board" information in white or maybe gold.
10. ADJOURN
There being no further business, the meeting was adjourned at 8:42 p.m.
