With a quorum of the Board present, the Keep Allen Beautiful Board was called to order
at 7:07 p.m., on Monday, November 10, 1997, in the Conference Room at City Hall, One
Butler Circle, Allen, Texas.
Review Work Duties for the 1997 Texas Recycles Day (City Wide Clean Up and
Earthfest (Agenda Item III
The Keep Allen Beautiful shirts were given out to all of the Board members. Dennis
Hann with the Allen Environmental Action League reported that he had 25 youth groups,
so far, signed up for the Clean Up. Additional areas that need to be cleaned up were
discussed.
The event chair person handed out a list, to all present, of all the volunteer groups that me
assigned to different areas of the Clean Up and Earthfest.
Friday night set-up time was set for 9.15 p.m. at Ford Middle School. There will be 36
exhibitors for the Earthfest.
Advertising for this event has been covered by flyers delivered to local vendors, articles
and ads in local newspapers and magazines, announcements on the radio, flyers and
newsletters to the schools, and directional road signs.
The chair person wants to use a hand stamp for the clean up groups on Saturday morning
to give these individuals priority seating at the Ft. Worth zoo showing from 1:00 to 2:00
p.m.

Our chair person went over the times the mascots (Whiff with the Clean Air Coalition,
Recycle Michael with the Sheriffs Department, Smoky Bear, and MCGruff) will be
available at the Earthfest.
There was discussion on corn pens, blue jean pencils and macaroni cheese boxes. Every
one was asked to bring ice chests to the Clean Up. Albertson is donating 300 muffins,
250 apples and 250 oranges and Sunny Delight orange juice. It was requested that the
Public Work's employees pick all this up at Albertson Saturday morning around 7:00
a.m.
Brookshires said they would donate 8 dozen muffins for breakfast. Winn Dixie gave us a
$20.00 gift certificate and Kroger gave a $100.00 gift certificate.
Tables and chairs will be provided by the City to be used at the pavilion at Ford Park for
the Clean Up.
There was discussion on signs that need to be put up at the pavilion and directional signs
will be put out around 6:00 a.m., Saturday morning, by the Chairman of the Board.
Dr. Pepper is donating bottled water and juice and will deliver it to the City The vendor
list for food coupons was reviewed.
A suggestion was made by one of the board members to send out a letter of information
to all vendors for drink, food, or monetary donations next year, instead of cold calling.
Another suggestion was made about hand delivering the letter in person when soliciting
donations because face to face contact is very successful.
The Chairman of the Board will be contacting all of the current builders in the City for
monetary donations.
Banners were put up last Friday by the Public Work's City employees. Two-way radios
were requested for some of the board members for Saturday's event.
Arrival time for all board members at the pavilion on Saturday morning for the City Wide
Clean Up is 6:30 a.m. to 7:00 a.m.
Breakfast food left over at the pavilion after the Clean Up will be transferred to the school
for the Earthfest volunteers and exhibitors.
