CITY COUNCIL CONFERENCE ROOM 305 CENTURY PARKWAY ALLEN, TX 75013 Present Stacy Gonzales Marcy Brown Mark Schallhorn Susan Ponder Kelly McDonald Cheryl Baez Absent Kimberly Holton Staff Present Donna Kliewer, Waste Services Manager Casey Bennett, Education Specialist Call to Order and Announce a Quorum is Present With a quorum present, the Keep Allen Beautiful Regular Meeting was called to order by Chair Mark Schallhorn at 6:32 p m. on Tuesday, November 19, 2013 in the Council Conference Room at City Hall, 305 1 Century Parkway, Allen, TX. 1. Consider action on Green Elementary PTA Grant Request— PTA President, Liz Farris Liz Farris, PTA President at Green Elementary made a presentation on behalf of the PTA Environmental Chair to discuss ways to increase the participation in the Walk to School, Bike to School, Recycled Art Contest, Arbor Day Poster Contest, and the Reuse -a -Shoe campaign. To increase the participation, Green wanted $500 to create signage to place at the school to advertise each year, especially in the pick-up/drop-off lanes. After discussion by the board, the general consensus was that KAB could help fund KAB initiatives, but not the others. A motion to approve a $200 grant for Green Elementary was made by Mardy Brown, seconded by Stacy Gonzales, with all in favor Board vice chair, Kelly McDonald, abstained from voting on this item. 2. Update from Parks Department on Horticulture and Environmental Programs Donna Kliewer reported on the status of the tree farm and the greenhouse. Currently, the Horticulture crews are in the process of delivering trees through the Trees for Allen campaign, as well as starting to bring in plants that will need a bit of extra help throughout the winter to save them for the spring. 3. Approve Minutes of October 15, 2013 Meeting A motion to approve October 15 minutes was made by Kelly McDonald; seconded by Stacy Gonzales, with all in favor 4. Receive Financial Report/Budget Update Donna Kliewer reported $22,183.96 unencumbered in the City account; $15,141.33 in the American 1 National Bank account. A large check was made out to one of the tree vendors for Trees for Allen. A motion to approve the financials was made by Susan Ponder; seconded by Marcy Brown, with all in favor 5. Receive Update on KAB Events and Projects • Allen Recycles Day Proclamation at City Council — October 22— After Action Report �j Mark Schallhorn attended and received the proclamation on behalf of Keep Allen Beautiful. ® • Arbor Day Celebration — October 26— After Action Report Donna Kliewer, Casey Bennett, Ken Bock, Mark Schallhorn and Cheryl Baez attended this event. Over 100 t -shirts were passed out during the course of the event and approximately 250 people were educated. One check for the Trees for Allen campaign was accepted during the event. • DEA Medication Take Back—October 26— After Action Report Allen Police Department collected 903 pounds of medication (763 Its) and sharps (140 lbs) in four hours. • Board Member Orientation for All Board Members—October 29— After Action Report All new and renewed board members attended this mandatory training session. • Allen Recycles Day/Recycled Art Contest Awards Presentation — November 2— After Action Report A total of 756 vehicles came through the event in 5 hours. Vendors are still turning in their statistics for weights, but during the event, 33 volunteers logged 176 service hours, including 9 adult volunteers from Bank of America. At the Recycled Art Contest Awards Ceremony, approximately 110 family and friends were in attendance. • Trees for Allen Application Deadline — November 15 A total of 250 trees were ordered in seven different varieties: Bur Oak (4), Chinquapin Oak (17), Red Oak (69), Live Oak (36), Chinese Pistache (72), Little Gem -Magnolia (40), Cedar Elm (12) and two (2) were donated to the city. • Rotary Christmas Parade — December 8 Parade forms have been submitted to the Rotary Club and a spot has been secured for KAB/CW D. • KAB plans to bring at railer this year for the contest winners in attendance at the event. Due Date for Arbor Day Poster Contest Winners — December 13 Winners will be judged and prizes awarded in the Spring at City Council. 6. Receive Reports from Strategic Planning Initiatives a) Communication—Kimberly Twitter updates are occurring on a regular basis. Kimberly Holton will work to provide additional content three times per week. b) Environmental Center/Molson Farm —Mardy There are no updates at this time. c) Environmental Education in AISD— Kelly Kelly McDonald reported her conversations with educators at Green Elementary where they expressed a desire to have information in regards to KAB programs and contests early on in the school year so they can better prepare their curriculum. d) Parks and Recreation Liaison — Cheryl Cheryl Baez reported about the Parks Board meeting on November 11`" New officers were elected and a report was given on the state of the parks. This was a basic informational update meeting e) Scout/Service Organization Liaison — Susan No report at this time. 7. Receive Reports from Strategic Planning Initiatives Casey Bennett reported on the method that KAB/COA educators use to track and report their education statistics. All in all, the educators engaged over 3,500 people at 70+ events during a twelve month period. Casey then proceeded to discuss the Adopt-a-Highway/Waterway/Spot programs and how those databases were maintained. Statistics were shared with the board based on information collected during the 2013 calendar year Adjourn The regular session of the Keep Allen Beautiful board was adjourned at 8:12 p.m. on Tuesday, November 19, 2013.
