Min - Library Board - 2014 - 08/05 - RegularALLEN PUBLIC LIBRARY REGULAR MEETING AUGUST 5, 2014 Present: Cindy Briggs, Board Chair Board Members Present: Davits Widmer, Secretary Diane Knaack Linda Kapocsi City Staff Present: Jeff Timbs, Director GUESTS: Call to Order and Announce a Quorum is Present With a quorum of Board Members present, the Regular Meeting of the Allen Public Library was called to order by Board Chan Cindy Briggs at 6:30 p.m. on Tuesday, August 5, 2014, in the Allen Public Library Board Room, 300 North Allen Drive, Allen, Texas. Approve Minutes of the May 6, 2014 Regular Meeting. MOTION: Upon a motion made by Diane Knaack and seconded by Linda Kapocsi, the Board voted four (4) for and none (0) opposed to approve the May 6, 2014 minutes. The motion carried. 2. Discuss and Complete the Annual Board Evaluation Form The Library Director advised that the Board evaluation form is due this week. The Board advised that the new members should have diverse interests, strong community knowledge, and be Library patrons. The current members represent Allen's diversity. Any further thoughts should be emailed to Cindy by August 6. The Director advised there is no logo yet. The city is looking at new graphics and in 2015 the City website will be upgraded and at that time City graphic identity, including logos, will be considered. Program calendar usage is being tracked and there are over 800 hits per day. Facebook has been a priority over the last year and there are over 400 shares per day. The most shares are comments about reading and children activities. ACTV video and YouTube are both active. One of the You Tube videos pertaining to the JFK Assassination has over 23,000 hits. Pinterest will be the next priority with how-to crafts featured in Library programs. 4. Discuss Changes to the Library Card Design. ' Before summer, 3500 cards were ordered, and 1800 have been issued. The remainder will last for another few months. Even without the new logo, new cards need to be ordered. Jeff showed 5 sample designs, and we advised that 2 were worth considering. The next card order will be 25,000, which will last about 3 years. There will be both wallet and key cards. 5. Review Draft of Library Policy Manual. The Texas State Library is promulgating new standards for the state accreditation of public libraries. Jeff will have these added to the draft manual. The Board will revisit the policy manual in November, which should be periodically reviewed every few years. Review and Discuss April, May, and June 2014 Library Statistics. • April: Checkouts up 6% compared to April 2013, Titles added way up in comparison to 2013 during the RFID project, Program Attendance up 18%, New Patrons held steady, Holds and Reference Requests were down, Internet Use up 32%, Visitors up 3% • May: Checkouts up 13%, Program Attendance up significantly, Holds were down, Reference Requests up 14%, Visitors up 12%. • June: Circulation up 12% with over 104,000 items checked out, Program Attendance up 17%, Reference Requests up 47%, Internet Use up 13.5%, Visitors up 20%. • The Summer 2014 reading program in June and July resulted in over 210,000 items checked out, 703 adults participated (up 81%), 5500 children 5500, and 600 teens. ' • This summer, 160 teens volunteered to help with the Summer Reading Club. ALLEN PUBLIC LIBRARY REGULAR MEETING ' AUGUST 5, 2014 PAGE 3 7. Discuss Items for Future Meeting Agendas. • Welcome the new Board members. • Vote for new officers. • Discuss Board Accomplishments for Year -End reports and activities. • Review and discuss the Library Policy Manual draft. S. Items of Interest. • The main ALLen Reads main book for 2015 will be Omhan Train. • In -Service Luncheon August 14, 2014. • Volunteer Appreciation Dinner funded by the Friends of the Library August 22, 2014. • City Council Budget Meetings begin August 22, 2014. • Next Scheduled Board Meeting November 4, 2014. • Board Appreciation Dinner December 12, 2014. • An October 15, 2014 program will feature CBS News correspondent and popular author Lee Woodruff. The program is co-sponsored by Texas Health Presbyterian Hospital Allen. 9. Adjourn. ' MOTION: Upon a motion made by Devils Widmer and seconded by Diane Knaack, the Board voted four (4) for and none (0) opposed to adjourn the board meeting at 7:20 p.m. These minutes approved on the 6' day of November, 2014.
